How to say “No” to a coworker in 10 steps ?
As discussed in the previous article, we have seen that the main role of a manager is to let his/her team motivated. When you have to say “no” to one of your team member, it’s important to be prepared and to know few tips in order to let him/her in a positive mindset.
It can be used for a technical decision, request for holidays or so many other reasons.
With‘ yes’ I increase motivation in the short term, with ‘no’ in the long term.
Here are the different steps you need to follow :
- Written preparation of the red thread of the interview
- Emphasize the importance of the interview
- Valuation on an effort or concrete result to secure my interlocutor
- Obtain an agreement on the principles or “rules of the game” which are at the origin of the negative decision. Then thank him for his positive attitude
- Straight to the point: “NO”: “In order to respect these principles, so my decision is to… ”
- Prepared explanation of the facts
- Listening to his reaction to help him reduce his frustration
- Obtain an agreement on compliance with the decision
- Negotiate an alternative solution, in line with the principles of the company and motivating for him
- Get committed to this new goal and Realize the solution together
